How to join a Google Meeting?

At ITONICS we use Google Meet for videoconferencing and online meetings. Read below to know how it works for browser or apps.

At ITONICS we use Google Meet for videoconferencing and online meetings. Google Meet works on all devices (via browser or app). In case ITONICS invites you for a Google Meet, you will get a link to join the conference from your computer or your smartphone.

To join an online meeting click on the link “Join Hangouts Meet” in your calendar invite or in your email invite. In addition, you can join a video meeting using the Meet app. You can use the Meet app with any Google account, such as a G Suite account or a @gmail.com account. To join the meeting via your mobile device you need to download the Meet app on your Android (Play Store ) or iOS device (App Store ) first and then follow the same instructions as mentioned below.

If your setup does not allow joining from a browser or from an App on your mobile device, you can always dial-in using your phone:

  • Enter the phone number that’s in the Google Calendar event or meeting invitation. Then, enter the PIN and #.
  • From the Meet or Calendar app, tap the phone number. The PIN is automatically entered.

From calendar: In your calendar, click the event you want to join.

  1. Open the calendar event or meeting invite
  2. Click on Join Hangouts Meet
  3. Select your options for camera and microphone by clicking on the respective icon (turn on/off)
  4. Click on Join now

From email: Click the meeting link in a text or email.

  1. Open the email with your meeting invite in your inbox.
  2. Click on the link meet.google.com/xxxxx below Join Hangouts Meet.
  3. Select your options for camera and microphone by clicking on the respective icon (turn on/off).
  4. Click on Join now.

From your mobile device: Open the Calendar event or meeting invite to dial-in to a meeting from a phone.

Note: To join the meeting via your mobile device you need to download the Meet app on your Android (Play Store ) or iOS device (App Store ) first and then follow the same instructions as mentioned above.

Collaborate during Google Meets

To collaborate within Google Meet online meetings you have various options like sharing your screen (by clicking on Present now), turning on/off your camera or microphone (by clicking on the camera or microphone icon) or using the chat function (by clicking on the chat icon).

Join a meeting using a phone number

If you are not able to join the meeting via the link in your calendar or in your email invite you can dial-in via phone during the scheduled meeting time using one of the following methods:

  • Enter the phone number that’s in the Google Calendar event or meeting invitation.
    Then, enter the PIN and #.
  • From the Meet or Calendar app, tap the phone number.
    The PIN is automatically entered.

Note: All G Suite editions include a U.S. phone number. G Suite Basic, Business, Enterprise, and Enterprise for Education editions also support international numbers. Regular call charges apply.

Note: If you are dial-in only via phone you are not able to use the collaboration features like screen sharing or chat function. 

 

To be on the safe side we recommend to

  • Share the documents to be discussed to all participants before the meeting starts (by email or box.com)
  • In case participants have issues with the online conferencing, you can still use the phone dial-ins and discuss the respective documents

Who can join video meetings?

You can join video meetings if you were added to the Calendar event, or if you are in the same organization as the meeting organizer.

An existing participant might need to approve you if you try to join another organization’s meeting or don't have a Google account.

A chime sounds when the first 5 people join the meeting.  Additional participants do not chime when joining and are automatically muted.
