How to work with Kanban Board presets

You can save your customized Kanban Board view to share it with all Workspace users.

Note: This feature will not be automatically available to all subscribers and may be part of a separate ITONICS subscription plan.  If you would like to test Kanban Boards, please contact us via account_manager@itonics.de.

 

Presets save a specific view or layout of your Boards, so you can quickly access it later. Presets allow you to save a specific configuration of elements, columns, and swimlanes, which can then be easily accessed later and shared with other users in your workspace. Use presets to streamline work - easily switch between different views of your data.

How to save a Board preset

Configuring Board presets can be done in 2 ways. First, configure what you want to view by following these steps:

  1. Open Boards by clicking on the Board icon (1).
  2. Open the configuration widget by clicking on the gear wheel settings icon (2).
  3. Select the  Element Type(s) you want to show on the Board.
  4. Select the field you want to use as Columns.
  5. Select the field you want to use as Swimlanes.
  6. Decide whether you want to Show Unassigned elements or not. Use the slider to activate or deactivate this option.
  7. Decide whether you want to Show Empty Swimlanes or not.

Option 1 - Save presets via the Board configuration widget

Click on the Board Presets and select Save as New Preset (3).

Option 2 - Save presets via the Board header

Hover over the Board header and click on the three-dot-menu (1) and then Save as new Preset (2).

For both options, follow these steps:

  1. Set a Preset Name (4).
  2. Select if this should be a Private Preset or not (5).
    1. Private Presets are only available for you.
    2. Public Presets are available to all users within the workspace and with permission to access the Board.
  3. Click on Save to finish creating a saved Board view (6).

Reset/Modify an existing Board preset

Updating Board presets can be done in 2 ways. 

If you have a Board preset selected and change Columns, Swimlanes, or the Show Unassigned settings, you can reset those changes. 

Option 1 - Reset/modify presets via the Board configuration widget

Open the Board Preset filter and click on the red DISCARD button.

Option 2 -  Reset/modify presets via the Board header

Hover over the Board header and click on the three-dot-menu (1) and then Discard Changes (2).

Updating Board presets can be done in 2 ways.

Option 1 - Update name and visibility options via the Board configuration widget.

Open the Board Preset filter and hover over the preset you want to change. An edit pen icon will appear. In the pop-up you can now change the Preset Name and decide whether it is a Private Preset or not. 

Option 2 - Update name and visibility options via the Board header.

Hover over the Board header and click Update (1).

Delete an existing preset

Deleting Board presets can be done in 2 ways. 

Option 1 - Delete presets via the Board configuration widget

Open the Board Preset filter and hover over the preset you want to delete. An edit pen icon will appear. Delete board presets

Option 2 - Delete presets via the Board header

Hover over the Board header and click Update (1).

In the pop-up you can now click the Delete Preset button.
